Why Child Care Centers Should Consider Moving to the Cloud

One of the most common questions we hear from child care center owners is “Why should I use a software system that is cloud-based?” Today we want to debunk some of the myths behind cloud-based systems and help you understand why moving to the cloud is the best option.

Myth #1: My data isn’t safe.

This myth comes up time after time when talking with child care centers who are concerned about hackers or anyone accessing their data. At SmartCare, we know you store a lot of personal information about children and families and security is of utmost importance. SmartCare is Microsoft Azure and Amazon Web Services Hosted and PCI DSS compliant. All credit card data is stored in a merchant vault and is not retrievable. Plus, no credit card data is ever stored on any of the devices.

Myth #2: I only need to access data on one device.

Many people think that data they need to access while running a child care center needs to only be accessible on one device, like a PC in the main office. In today’s world, data needs to be accessible from anywhere, on any device. A great example we saw with a child care center during beta testing was the center director broke his ankle and could not commute into the center everyday. He still needed to access employee and child information, as well as track ratios, on a daily basis. He was able to login to his center on his iPad from home using SmartCare, which was just like being on-site. SmartCare allows you to log in to your account from anywhere, anytime.

Myth #3: Migrating to the cloud is more hassle than it’s worth.

A big concern for child care centers looking to try new a new software solution is the amount of data currently stored in their system, or on paper. SmartCare wants to eliminate that concern so we will enter all of your data for you—employee data, child data, family data, classroom information and even immunizations! No matter how your information is currently stored, we have a team that will import your information so when you are ready to start using our software, there is no data entry required on your part.

Myth #4: Cloud technology is still too new, it’s not trustworthy.

Although this myth has been busted time after time, there are still many people apprehensive when it comes to switching over to this new technology. The Information Systems Audit and Control Association, ISACA, has many resources about cloud technology and why it makes sense for your child care center. Not only does it allow you flexibility, data recovery (in case of an emergency), and automatic updates, but there is a lower cost associated with cloud-based solutions and more security than a filing cabinet or other software solutions.
